Job Summary

AECOM is seeking a Board Administrator to support our Board of Directors in operating effectively and efficiently. This individual will work closely with the Corporate Secretary to run and manage all aspects of board operations, including planning and executing board meetings / events and AECOMs Annual Stockholder Meeting.

S/he will communicate / coordinate with directors, executive leaders and broader teams as well as work with in-house legal counsel on corporate governance-related matters.

This individual will also provide administrative support to managers in AECOMs corporate legal department.

Responsibilities:

  • Planning and executing board meetings, dinners and events

  • Compiling board meeting agendas and materials

  • Drafting meeting minutes

  • Planning Annual Stockholder Meeting

  • Coordinating with in-house legal counsel on various governance-related matters, e.g., Proxy Statement

  • Overseeing all board-related documentation to ensure security and confidentiality

  • Managing the boards budget and processing board fees / expense reimbursements

  • Coordinating with corporate tax department on preparation of directors 1099 statements

  • Developing and managing the boards meeting schedules

  • Arranging directors travel / transportation

  • Providing administrative support to managers in AECOMs corporate legal department

Minimum Requirements

  • Bachelors degree strongly preferred

  • At least five years of administrative experience in a company with similar structure and complexity to AECOM

  • Experience and strong proficiency in Microsoft Outlook, PowerPoint, Word and Excel

  • Strong analytical skills with keen attention to detail

  • Solution-oriented, resourceful, and highly focused on client service

  • Outstanding oral and written communication skills

  • Strong organizational skills - ability to handle multiple tasks simultaneously

  • Highly adaptable and agile can easily shift priorities in a dynamic work environment

  • Ability to establish strong working relationships and effective at building appropriate rapport

  • Ability to thrive in an entrepreneurial environment and work successfully both independently and in a team

  • Exhibits pride in work
