Immediate Opening: Experienced Senior Event Producer

Bernoulli | Locke is a membership platform that opens the door to 10-15 live, in-person experiences per year across the US. These range from single-day regional events to multi-day events in amazing locations. The company currently operates its first region in southern California and anticipates adding at least one new region each year over the next five years.

Located at specially-selected locations, members enjoy a crafted blend of luxury, stimulating activities, and interesting participants, led by highly qualified subject matter experts.

Our current need:

An Event Producer who can help to ensure that our members’ expectations are exceeded through the leadership and coordination of all Bernoulli | Locke experiences and events.

The successful candidate will act as the single source of truth for all stakeholders throughout the lifecycle of each event throughout the year.

This position is for you if you are:

  • A strategic thinker and creative problem-solver. From gleaning insights to developing actionable plans, the vision you bring to every assignment results in successful, revenue-generating events
  • A leader who is comfortable with a range of responsibility. Tasks will include developing and managing timelines, budgets, briefs, E2E project plans, etc.
  • Capable of driving collaborative teams to timely, data-driven, thoughtful decisions that lead to or exceed desired outcomes

Job Environment:

  • Must thrive in an environment of rapid change, moving targets, limited resources and cross-functional dependencies
  • Full-time work schedule:
    • We have a slate of 10-15 events per year to manage, thus necessitating an ongoing planning and execution cycle
    • Remote work environment:
      • Most work is conducted over email, phone, Zoom, Slack and SharePoint, with onsite event coordination and venue site visits, as needed
      • While work can be done from anywhere, Producer should be available during standard work hours (Mon-Fri, 8am-5pm PST)
      • Travel will be required to scout locations and attend events
      • Weekend work on an as-needed basis
      • Small, close-knit team:
        • Execution and Planning team consists of several founders and creative leads, with freelance expansion as necessary
        • Event Producer will have staff reporting to them as needed
        • The Event Producer in turn reports directly to the Chief Development Officer
        • Room for growth and advancement:
          • As we add regions, position has the opportunity to hire, grow and manage a multi-region team with additional events and experiences

Requirements

Job Requirements:

Maintain a top level of detail and excellence in delivering world-class experiences for Bernoulli | Locke members.

  • Develop cross-functional timelines, detailed project plans, and thoughtfully planned workstreams
  • Direct growth and build-out of the production team, including staff and freelance workers, while maintaining a high production output
  • Ensure the delivery of extraordinary customer experience
  • Integrate all COVID-19 requirements into event execution
  • Emphasize consistency across every run-of-show, designing and implementing each event:
    • Generate and maintain production/technical documents and create clear, concise and comprehensive production schedules, activities schedules, shipment tracking, hotel pickup reports, staff travel and lodging, etc.
    • Coordinate and work with venues, A/V, talent, multiple creative teams and executive leadership
    • Work with caterer/consultant to create events' F&B needs/orders
    • Collaborate with design and creative team to produce on-brand event collateral
    • Handle vendor procurement, logistics, questions, and concerns throughout each event
    • Maintain overall budget and budgeting process:
      • Negotiate favorable contracts and terms with the partners
      • Seek and collect bids from potential vendors, partners, talent and subject matter experts to present to the Bernoulli | Locke executive team
      • Manage vendor contracts to ensure all vendor obligations are being met
      • Create and maintain payment tracking schedules for event vendors
      • Attend, supervise, and manage all events, including pre-event and onsite coordination of all activities:
        • Coordinate onsite management of event vendors (including décor, production, and transportation) from setup to teardown
        • Provide comprehensive post-event debrief reports, defining constructive learning to consider for future events.
        • Actively participate in Bernoulli | Locke planning team communication
        • Research and presentation of future conference host cities/venues to the planning team
          • Selection of most viable venue options provided by each potential host city
          • Creation of venue comparison presentations, laying out advantages of each option

Excellent written and oral communication skills are required.

Required Prior Experience:

  • Bachelor’s Degree in Entertainment, Theatrical Management (Stage, Technical or Production), Arts Administration or a minimum of five (5) years' comparable work experience in the entertainment industry, with an emphasis in managing the production process and daily operations
  • Expert knowledge of entertainment production process including, but not limited to, all of the above stated job requirements
  • Strong budget forecasting, expense tracking, and management experience are an absolute prerequisite
